Letting your District help run your halls

Your District can help run your group’s halls: taking bookings, keeping the compliance checks up to date, or managing fees. You decide how much, and you can change it or stop at any time.

Linking. Somebody who leads the District makes a code on its Members page, under Groups you support. Your group’s owner enters it on your Members page, under Your District. A code works once, for 14 days. Linking on its own lets the District do nothing.

Choosing what it can do. Your owner then picks one of four for Hall Manager:

  • Nothing: linked, but no access.
  • See: can look at everything, and change nothing.
  • Help: can add and change bookings, halls, keyholders and checks.
  • Manage: everything a leader can do here, including fees, rates and invoices.

Each of the District’s people gets that level or their own level in the District, whichever is lower. Nobody from the District can manage your members, your billing, or your payment and accounting accounts. They’ll see your bookings, and your hirers’ and keyholders’ names and contact details.

For the District. Once a group has chosen a level, your District gets a Your groups page at the top of its menu. It starts with one calendar of every group’s bookings, by week or month, each group in its own colour, and you can show one group at a time. Below that, each group’s halls, its next seven days, booking requests waiting, and checks overdue or coming up. Click a booking, or Open, to go and work in that group.

Seeing what they did. Your group appears in their list of groups, with a note that they’re working as the District. Anything they change is marked in your log with their name and the District’s.

Stopping. Set it back to Nothing, or unlink, on your Members page. The District can unlink too. Unlinking ends its access in every app.

Who pays. It’s free for both of you. Your group’s paid features follow your plan, whoever is using them. If the District has halls of its own to hire out, those need its own paid plan.
